_Summary from Hillside Board Meeting December 28 2011_ Present: Robert Biddle, Robert Hanmer, Richard Gabriel, Joe Yoder, Rebecca Wirfs-Brock, Lise Hvatum _Hillside Annual Meeting Summary (see attached report) _Making sure the summary is OK. Posting on Hillside together with last year's reports as well. _Hillside elections_ Situation with Ricardo -- what to do. Bylaws are saying that missing meetings is reason to replace a board member. How to handle it gracefully? Suggestion from Richard to e-mail him saying "It seems like you are really busy, and we do not want to burden you in any way, but we need an active treasurer for the coming period. We suggest that you resign, which you can do by not answering this e-mail." Joe has sent him recent e-mail asking him to join this meeting. Richard wants to make sure he resigns (even if technically). Propose Rebecca as the new treasurer -- voted yes from all board members present. List of current terms: will get help from Bob. Suggested Christian Kohls as new board member. Lise will ask Christian if he is willing to join the board. Make note that size of board does not include the emeritus members. Robert Biddle is willing to step down as his research focus changed (he is still active with patters work in addition), but board very clearly wanted him to stay, and to represent the academic members. _Financial Reports_ Need to do from the last 2 years, and post these. _Upcoming PLoP's_ VikingPLoP moving forward. Web site space set up. Neil is suggesting to insist there is people there from EuroPLoP community, and will inform Villi-Pekka. ChiliPLoP: Joe mailed Dave West. He was in India last week. Suggesting April 1-4. Dave is willing to do the work. Lost the initial group that was interested. There is one hot topic proposal -- the cloud computing patterns from last year's PLoP. Want at least 2 hot topics with organizers. But we are OK to move the location to Las Vegas, NM. Also want some strong patterns people to attend to help with the patterns side of it. ScrumPLoP: max 15 places, by invitation, nearly all have signed up, expect it to go forward. Neil wants to have formal shepherding process in place this year (did not work out well before). Richard is concerned about the patterns quality of the work so far. Neil informed us that it has been hard to get the authors to update the online material (ChiliPLoP in a cold place -- ChillyPLoP). SugarLoaf: happening again in 2012, good experiences from the miniPLoP. LatinAmerican: idea from Ed Fernandez and is not asking from funding but from some people resources. SugarLoaf works more for Brazil/Portuguese, but this would have the coverage for the Spanish speaking countries. Neil, Bob and Joe are all interested in helping out and being on the Program Committee. PLoP 2012 -- Eduardo Guerra as the chair. He may need some help financially for the travel. We have the commitment to have it at Splash 2012, we have space there. The informal straw poll was that it was OK to have it in Tucson. Timing and location is better than Agile 2012. Joe has been in contact with Gerry Levin about space. Joe will talk to Gerry in detail about our space and time requirements. Lise will send Eduardo the PLoP material this weekend, and do a handover of the knowledge from the 2011 PLoP. _ACM Digital Library_ Working to get all 2010 and EuroPLoP 2011 papers in. Also working with the AsianPLoP organizers. Need ISBN number, get this and then send out request for papers with deadline Jan 15 2012 (and hope to have them by end January). There is a ACM-DL new feature where you can get the PDF for own web page directly rather than downloading. _Focused Activities_ How to organize, support, resources, prioritize, and single point of responsibility... Create a description/format for a program by Bob and Lise starting off with initial descriptions that we can rework to examples and a format. Rebecca suggested a structure where there is regular reporting back to the board. The initial proposals will be done by Feb 1.
